Tips and tricks to get the best results when using our Voice features.

Kiroku's Voice features allow you to capture notes effortlessly using speech-to-text  and AI technology. To get the most accurate transcripts, it's important to follow some simple microphone best practices.

Below, we’ve outlined key steps to ensure clear and reliable transcription every time.

🎙️Choose the Right Microphone

Kiroku Voice works with any microphone, but the quality of your transcript will depend on your setup.

Although your practice computer may have a built in microphone, for better transcript accuracy, consider using a wireless lapel mic or a standing podcast mic. These are designed to reduce background noise and capture clearer audio.

📍Position Your Microphone Correctly

Proper mic placement makes a big difference in transcription accuracy.

  • Lapel Mic Users: Clip the mic to your shirt, ensuring it is facing your mouth, and not rubbing against fabric. If you have a second lapel mic, you could place place this nearer your patient to better pick up their voice.
  • Desk Mic Users: Position the mic as close as possible to where the majority of conversation will be occurring. Where possible ensure the mic is facing you.

🔋 Ensure Your Mics Are Well Charged

When using wireless microphones low battery levels can lead to decreased audio quality. To help ensure top quality audio be sure to charge your microphone regularly. 

📣 Speak Clearly

For best results, ensure that you and your patient are speaking clearly:

  • If your patient speaks softly or unclearly, consider repeating key details to ensure they are accurately noted in your transcription.
  • Try to pace you speech— if you're prone to speaking very quickly try to slow your speech down as this may result in errors or information being missed.

📻 Reduce Background Noise

Minimising background noise will improve transcription accuracy:

  • Turn off or significantly reduce radios or background music (particularly anything with speaking/lyrics)
  • During treatments, particularly if you are using loud dental equipment, we recommend summarising the appointment after the treatment is completed. 

🔧 Troubleshooting Issues

If your transcript quality isn’t as expected, try these quick fixes:

  • Do a mic test: you can test your microphone's recording quality at  https://mictests.com/
  • Check microphone settings: Ensure the correct mic is selected.
  • Move closer to the mic: Distance can reduce accuracy.
  • Reduce background noise: A quieter environment helps.

What appointment type is right for you

Voice Notes can be completed using two different features - Freestyle and Co-Pilot. See our advice below for which to use for different situations/appointment types:

Basic use advice

  1. Turn Co-Pilot/Freestyle on
  2. Check the microphone is connected and registering audio
  3. Proceed with your full appointment/summary, bearing in mind above advice for best transcript/audio quality. 
  4. At the end of your appointment stop the transcription. 
  5. Review your notes.  

Trust the Process When Using Co-Pilot

Co-Pilot works by first creating a transcript, then analysing it to extract relevant details for your notes. This process takes a little time, so updates may not appear instantly. We recommend continuing your appointment at a regular pace - by the end, Co-Pilot will have caught up.

If you notice unexpected content in your notes, don’t worry—Co-Pilot continuously refines its output throughout the appointment. Wait until the end to review, as it may have already corrected any mistakes.
